# Manage a lab roster

## Overview

Each classroom lab has a **Members** roster on its detail page. You add people with a CSV import; CloudPe sends lab invitation emails and keeps OAuth access in sync with the hub. Faculty and students are lab members only — they do not appear on your organisation Team page unless they are also org members.

You need `notebooks:manage` (or organisation owner) to import, resend invitations, remove members, or stop sessions.

## Before you start

- The lab should be active before students rely on invitations (invites can be sent while provisioning, but the hub must be active to sign in).
- Prepare a CSV with at most 5,000 rows and no larger than 1 MiB.
- Total roster size cannot exceed the lab Seats count you set at create time.

## Steps

### Import a CSV roster

1. In the sidebar, open **Notebooks** and select your lab.
2. In **Members**, select **Import CSV**.
3. In **Import roster**, choose a file with columns email, display_name, role, and batch:
   - email — address that receives the invitation.
   - display_name — name shown in the roster (optional but recommended).
   - role — `faculty` or `student`.
   - batch — optional label (for example a section or year).
4. Select **Import**.

Each imported row gets an invitation email. Rows beyond the seat limit are not invited.

### Read member status

The Status column shows:

| Status | Meaning |
| --- | --- |
| invited | Invitation sent; waiting for the person to accept. |
| invite failed | Email or invite delivery failed; see the error under the member row. |
| invite conflict | The same email has a pending organisation invitation; resolve it on Team first, or cancel one invite. |
| active | The person accepted and can use the lab. |

Faculty and students use the same statuses; role is shown in the Role column.

### Resend an invitation

1. Find a row with status invited or invite failed.
2. Select **Resend invite**.

If **Resend invite** is missing or the API returns `Member invitation cannot be resent`, the row is not in a state that allows resend (for example already active). Remove the member and import them again if you need a fresh invite.

### Remove a member

1. Select **Remove** on the member row.
2. Confirm **Remove** in the dialog.

CloudPe deletes their notebook server and personal storage on the lab, revokes lab access, and removes them from the hub roster within a few minutes. Seat usage drops so you can invite someone else.

### Stop a running notebook

1. Open the **Sessions** section on the same lab page.
2. For a Running session, select **Stop** and confirm.

Stopping calls the hub to delete that user's server; the session row closes after the next sync.

## Troubleshooting

- `Member invitation cannot be resent` — Status is not invited or invite failed. Remove and re-import, or wait until the member accepts.
- invite conflict — Clear the organisation invitation on Team or cancel the lab invite by removing the row and fixing the org invite first.
- `CSV must be 1 MiB or smaller.` — Split the file or trim rows.
- Students cannot sign in — confirm status is active and see [Student guide to notebook labs](/help/notebooks-student-guide).
